Administrator Position
Drawing Dept is an award-winning architecture and design firm located in Oakley. The firm was founded in 2005 and currently includes 15 employees. As a horizontally structured practice, we eschew titles and rank in favor of a team approach. The firm is owned by four partners: Rob Busch, Ron Novak, Evonne Morales, and Alex Dever.
We are looking for a new team member to work in our open, collaborative studio environment. The assumption is that this will be primarily an in-office position. Experience in a professional services office is preferred. No architecture or design experience or training is required.
Invoicing, as well as many other tasks associated with this position, happen on a monthly basis. Therefore, the administrator will be required to structure many of their responsibilities on a monthly cycle. The work is generally repetitive, both time-sensitive and task-based, and requires tracking, reminding, and seeing tasks across the finish line.
If you hate follow-up, get easily bored, or crave creativity, this position will frustrate you. But if you like structure and organization, repetition, and find satisfaction in closing loose ends, this might be the perfect job for you!
Specifically, we are looking for a multi-faceted person to join our team as the office administrator. The office administrator will work closely with the partners and employees to support a smooth and efficient work environment. The primary job responsibilities include:
- Clerical and organizational support, including routine bookkeeping
- Maintenance of financial records and spreadsheets
- Timesheet coordination and monthly invoicing
- Routine banking activities
- Coordination with payroll services and benefits providers
- Coordination with third-party accounting and tax services
- Management of professional licenses and firm registrations nationwide
- Coordination of required office insurance policies
- Maintenance of office records and filing systems
- Light human resources support, including onboarding and offboarding staff
- Reception duties, including greeting and directing visitors
- Answering the phone and managing correspondence
- Office supply tracking and procurement
- Management of business phone plans
- Coordination of office activities and events [e.g., office excursions, coordinating lunch for office meetings, etc.]
- Limited travel coordination
- Occasional errands [package delivery, drop off, etc.]
In this position, excellent written and communication skills are mandatory. The primary software includes:
- Microsoft Word [proficient]
- Microsoft Excel [proficient]
- Intuit QuickBooks Online [competent]
- BQE CORE — timesheets and invoices [we can help facilitate training, as needed]
The terms of this opportunity are negotiable. The position is a flexible, part-time position with hourly compensation and a variable monthly workload. The first week of the month, corresponding with invoicing, is more time-intensive and time-sensitive, likely requiring 4–5 days of focused effort. The following weeks of the month the workload is lighter and more flexible, and may require only 1–2 days of work per week. Overall, 60–80 hours per month are anticipated.
